15 Questions to Ask in a Membership Software Demo (Before You Sign Anything)

Turn a vendor demo from theatre into an inspection: fifteen questions across data ownership, renewals, member experience, events, and commercials, plus the red-flag answers and what to watch rather than ask.

A software demo is theatre. The vendor controls the script, the data is spotless, and every click lands on a polished screen. None of that tells you how the product behaves on your member list, in your renewal week, with your volunteer treasurer driving.

The fix is to arrive with a script of your own. These fifteen questions, grouped by what they reveal, turn a demo from a show into an inspection, whether you are evaluating membership management software for a club or an AMS for an association.


Before the demo: bring your reality

Send the vendor two things in advance: a sample of your actual member data (a dozen anonymised rows is enough) and your two ugliest scenarios, such as a corporate membership with five nominees or a member who pays late every single year. Asking to see your mess handled beats watching their sample data behave.

Data and ownership

1. Can we export all our data, free, at any time? The answer calibrates everything else you hear. Anything other than an immediate yes is a lock-in warning.

2. How does migration from our current system work, and what does it cost? Good vendors treat migration as their job, not your problem; the full sequencing is in our switching guide.

3. Where is member data hosted, and how do you support PDPA compliance? For Singapore organisations, consent handling and access controls are committee-level concerns, not fine print.

Renewals and money

4. Show me the renewal cycle end to end. Reminder, payment, receipt, record update, card update, with nobody touching a spreadsheet. This is the single most valuable five minutes of any demo.

5. Which payment methods work out of the box? PayNow, GIRO for recurring dues, and cards. Watch for "on the roadmap".

6. What happens when a payment fails or a member lapses? Retries, win-back, and lapsed status flowing through to verification.

7. What does the treasurer see at reconciliation time? Ask for the actual report, not a dashboard flyover.

Members' experience

8. What can members do without emailing us? Update details, pay, download receipts, register for events, re-download their card, all in the member portal.

9. Show me the digital membership card on a real phone. Apple Wallet and Google Wallet, and what the door scan shows when a membership has expired; background in our QR verification guide.

10. How do segmented emails work? Send to unpaid members of one category without building a list by hand.

Events and operations

11. Walk through an event from creation to check-in. Member versus non-member pricing, capacity, waitlist, QR check-in feeding attendance records.

12. How many clicks to the five things we do daily? Name yours: add a member, take a payment, answer "is this person active", pull the committee report, check someone in. Count the clicks yourself.

Commercials and support

13. What is in the price, and what costs extra? Modules, admin seats, email volume, transaction percentages. Cross-check against a three-year total.

14. What are the contract terms and the exit process? Notice periods, auto-renewal, and what happens to your data on the way out.

15. What does support look like in our first renewal cycle? Response times, channels, and whether onboarding help is included or billable.


Watch for what is not said

Beyond the answers, three observations separate vendors during any demo:

  • Speed on ordinary tasks. If adding a member takes ninety seconds with the vendor driving, imagine your volunteers doing it
  • Comfort with your scenarios. A vendor who welcomes your ugly cases has seen them before; one who steers back to the script has not
  • Straight answers on price and exit. Hedging in the sales process is the best behaviour you will ever see from a vendor
